1. Who we are

Absolute Technology Limited ("Absolute", "we", "us", or "our") is the controller of personal data described in this notice.

This notice explains how we collect, use, and protect personal data when you visit our website, evaluate or use the DataStar™ software, or otherwise interact with us. It is provided in accordance with the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018.

2. Personal data we collect

We collect only the personal data we need to operate our business. Specifically:

(a) Licence data. Your work email address, which we use to issue and validate your DataStar licence and to send licence-related communications.

(b) Software activity. The DataStar software contacts our licence server to validate your licence. This communication transmits only the licence identifier, the email address associated with the licence, and the version of the software being run. The software does not transmit the contents of your databases, your scripts, or any business data processed using the software, and it does not transmit any telemetry, usage analytics, or diagnostic data. Our hosting provider may retain transient HTTP access logs (including IP address) for short periods for security purposes; we do not access or use those logs for any other purpose.

(c) Communications data. Records of correspondence with us, including support enquiries, sales enquiries, and email exchanges.

(d) Website data. Information collected via our website, including pages visited, referring URL, and cookies. See section 8.

(e) Billing data. Where applicable, billing contact details, purchase orders, and invoice information. Payment card details are handled by our payment provider and are not stored by us.

We do not knowingly collect special category personal data, and we do not knowingly collect data from children.

3. How we collect personal data

We collect personal data:

  • directly from you, when you register for a licence, contact us, or use the software;
  • automatically, when the DataStar software contacts our licence server, or when you visit our website;
  • from your employer's administrator, where your organisation has a corporate account with us.

4. Why we use personal data and lawful basis

We use personal data for the following purposes, relying on the lawful bases shown:

Where we rely on legitimate interests, we have considered the impact on you and concluded that our interests are not overridden by your rights and freedoms. You can ask us for further information about this assessment at any time.

5. Who we share personal data with

We share personal data only where necessary, with the following categories of recipients:

  • Service providers that support our business, including cloud hosting, email delivery, analytics, customer support tooling, and payment processing. These providers act on our instructions under contract and are required to protect personal data appropriately.
  • Professional advisers, including auditors, accountants, and legal advisers, where required for the conduct of our business.
  • Authorities and regulators, where we are required to do so by law or where it is necessary to protect our rights or those of others.
  • Successors, in connection with a merger, acquisition, reorganisation, or sale of business assets.

We do not sell personal data, and we do not share it with third parties for their independent marketing purposes.

6. International transfers

Some of our service providers are located outside the United Kingdom. Where personal data is transferred internationally, we rely on appropriate safeguards, including:

  • transfers to countries covered by a UK adequacy regulation; or
  • the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or another transfer mechanism approved under UK GDPR.

7. How long we keep personal data

We keep personal data only for as long as necessary for the purposes described in this notice:

  • Licence and account data: for the duration of your licence or account, plus a reasonable period afterwards (typically up to 7 years) to handle queries, exercise legal rights, and meet our retention obligations.
  • Communications: typically up to 3 years from the date of the communication.
  • Billing and accounting records: at least 6 years, in line with UK tax and company law requirements.
  • Marketing data: until you unsubscribe or object.

Where we no longer need personal data, we delete or anonymise it.

8. Cookies

Our website uses cookies and similar technologies. Strictly necessary cookies are used by default. Analytics or marketing cookies are set only with your consent. You can change your preferences at any time through the cookie banner or your browser settings.

9. Your rights

Under the UK GDPR you have the right to:

  • access your personal data and obtain a copy;
  • rectify inaccurate or incomplete personal data;
  • erase personal data in certain circumstances ("right to be forgotten");
  • restrict processing of your personal data;
  • object to processing based on legitimate interests, or to direct marketing at any time;
  • data portability for data you have provided to us, where processing is by automated means and based on consent or contract;
  • withdraw consent at any time, where processing is based on consent — withdrawal does not affect the lawfulness of processing before withdrawal.

11. Security

We implement technical and organisational measures appropriate to the risk, including encryption in transit, access controls, secure development practices, and ongoing review of our security posture. No system is completely secure, and we cannot guarantee absolute security, but we take our responsibility to protect personal data seriously.

12. Changes to this notice

We may update this notice from time to time. The "last updated" date at the top of this page shows when changes were made. We will notify you of material changes by email or through the software where appropriate.
